Privacy Policy and Data Protection Statement
1.1.1 Interiman Group's Privacy Principles

When you provide your personal data to the various subsidiaries of Interiman Group, you grant us permission to use this information as necessary for the execution of contractual relations that bind us, as well as when using our websites. Interiman Group will treat this information confidentially and will only disclose it to third parties for the intended purposes.

With this privacy policy, we aim to provide necessary information to users of our websites, candidates, and our employees about data protection within the subsidiaries of Interiman Group. Naturally, we comply with the legal provisions of the Federal Act on Data Protection of September 25, 2020 (FADP; SR 235.1), the Regulation (EU) 2016/679 of the European Parliament and of the Council of April 27, 2016, on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation; GDPR), and other applicable legal provisions.

This policy informs about the purposes and methods of our personal data processing, who has access to this data, and to whom it is transmitted. We will also inform you about your rights concerning personal data.

The responsible entity in terms of the FADP is each of the subsidiaries of Interiman Group (whether or not you are contractually bound to them). However, your personal data is centralized within Interiman Group Services SA, Avenue des Baumettes 7, 1020 Renens (Switzerland), which commits to adhering to this policy.

Our various tools are secured against loss, destruction, theft, disclosure, or modification of data by unauthorized persons. Our various data storage areas ensure confidential handling and meet the technical and organizational measures for data protection (Art. 8 FADP). Interiman Group notes that data transmission over the Internet (e.g., when communicating via email) can present security gaps. Complete protection of data against third-party access is therefore not possible.

1.1.2 What data do we collect?

We record your contact information (name, postal address, email address, and phone numbers).

As a user of the websites of Interiman Group's subsidiaries or our suppliers' applications, we record information about your usage (IP address, date and time, requested service, etc.). If you have a personal account, we record the necessary information for this purpose, such as login and password.

It is also possible that some suppliers who perform services on our behalf and only based on our instructions use cookies. To learn more, we encourage you to review the cookie policy specific to each of the concerned suppliers.

We also record information necessary, and generally contained in a CV, when it is necessary for creating an account or carrying out the application process. This information includes:

For candidates who register and submit their documents

  • Your date of birth, gender, nationality, and residence permit
  • Your professional qualifications listed on your CV, diplomas, and certificates that you have submitted, useful for a potential position
  • If you provide them, your photo, extracts from the criminal record and debt collection register

For employees who perform or have performed a mission

  • Your bank details, social security number, and information found on an identity document
  • Contractual, salary, tax, or other information necessary for processing your contract and allowing us to fulfill our obligations as an employer (hours worked, holidays, sickness reports, accidents, etc.)
  • If you provide them, the contact details of persons to contact in case of emergency.

Data processing also applies to sensitive data as defined by Art. 5 let. c FADP or to special categories of personal data as per Art. 9 of the GDPR. Sensitive data notably includes political opinions, religious beliefs, physical or mental health, or a photo showing ethnic origin. If you provide such information in your documents or application process, you expressly agree that we may store, process, and transmit this information, confidentially for strictly professional purposes.

1.1.3 What do we do with this information?

We carry out all our processing in accordance with the legal bases that are imposed on us and correspond to one of the following categories:

  • Your consent through a signed document (consent form, registration form, mission contract, framework contract, an email exchange)
  • Compliance with a legal, regulatory, or contractual requirement (such as ensuring the processing of your salaries or social contributions)
  • Our legitimate interests, described in the following section

We use your personal data to:

  • Manage our contracts with you,
  • Process and pay advances or salaries
  • Manage our client-supplier relationships when we propose your file
  • Send you promotional materials, mailings, newsletters, or alerts regarding open positions
  • Carry out direct marketing actions, such as promotions, offers, surveys, contests, newsletters, market research, satisfaction surveys, or special events
  • Create and manage your accounts on our sites and applications
  • Protect against fraud and other illegal activities, by seeking to identify and prevent them, as well as in the event of lawsuits or other claims
  • Operate, evaluate, and improve our activities (including data analysis, optimization, and development of our services; managing our communications; data analysis; and performing internal functions such as accounting, etc.)
  • Respond to your various requests and/or complaints
  • Comply with applicable legal requirements, industry standards, our contractual obligations, and our internal policies.

In addition to the activities mentioned above, if you are a candidate, and you have an account on our sites or have applied through one of our sites, we also use your personal data, always confidentially, to:

  • Assess your suitability and qualifications as a candidate for a potential position
  • Offer you employment and work opportunities
  • Provide you with HR services, including benefits programs, mission management, payroll, performance management, and disciplinary measures
  • Provide you with additional services, such as training, career guidance, and career transition services, with the help of our various companies
  • Perform statistical analyses of data, such as analysis of our candidate and temporary worker database; assessment of individual performance and capabilities, including work-related skill scoring; identifying skill shortages; matching individuals with potential employment opportunities; and analyzing 'pipeline data' (trends concerning hiring practices).

We may also use your information for other purposes, provided that we inform you specifically at the latest at the time of the registration of this information. Your consent for such use will always be requested.

1.1.4 What are our legitimate interests?

We keep your personal data in our systems as long as necessary for our processing and to fulfill our legal obligations.

1.1.6 What do we share?

We do not disclose personal data that we collect about you, except in the cases described in this privacy policy and data protection statement or in specific clauses provided as part of specific activities, with your consent.

To ensure the proper management of our services, your personal data may be shared among the subsidiaries of Interiman Group, with client companies of Interiman Group, or personnel placement consultants.

In addition, we may share your personal data with our suppliers, who perform services on our behalf and only based on our instructions. Our suppliers are contractually bound by the subsidiaries of Interiman Group to confidentiality and compliance with legal provisions on data protection. Moreover, we do not allow these suppliers to use or disclose your personal data, except to provide the said services on our behalf or to comply with legal requirements. It may be that the subsidiaries of Interiman Group transmit personal data to suppliers whose headquarters are outside Switzerland or an EU member state and thus do not provide the standard level of security of the EU. In such cases, Interiman Group takes the necessary precautions to ensure that each company not located within the EU and processing your personal data guarantees adequate protection for the processed data. Interiman Group will communicate the name of the state to which the data was transmitted as well as the guarantees of an appropriate level of protection. It is possible that the concerned suppliers might in turn rely on subcontracting companies to provide their services. If the subcontracting company in question processes your personal data in Switzerland, in the European Economic Area, or in one of the countries outside the European area that has legislation providing an adequate level of protection as per Art. 16 Para. 1 FADP, we will authorize such processing. If the subcontracting company in question must process your personal data in a country outside the European area that does not provide a level of protection equivalent to Switzerland, we will authorize such processing provided that this company presents specific guarantees. In both cases, you expressly consent to such transmission in order to ensure the proper functioning of our services. Of course, you can revoke your agreement and request the deletion of your data at any time, it being understood that such revocation will also end the services offered by the companies of Interiman Group (including Interiman Group Services SA) and the underlying contractual relationships.

Finally, we may disclose personal data about you (1) if required by law or a legal proceeding; (2) to law enforcement authorities or based on a legal request for disclosure; and (3) when we believe disclosure is appropriate to prevent physical harm, damage, or financial loss, or in connection with an investigation of suspected or actual illegal or fraudulent activities.

1.1.7 Your rights

The 'right to information' allows you to access your personal data managed by Interiman Group Services SA at any time. You also have a 'right to rectification' concerning these data, meaning you have the right to correct or complete incorrect or incomplete personal data. You also have a 'right to deletion', which allows you to ask us to delete your stored personal data or to restrict them, to the extent compatible with the execution of our legal or contractual obligations.

You can also revoke at any time any consent declaration you have signed and that forms an integral part of this privacy policy and data protection statement. However, this revocation is only valid for the future. Thus, such a declaration does not affect the legality of processing carried out until the day of revocation.
